Add a User to Chartbeat
Use this workflow to invite the collaborator into your Chartbeat account.
Prerequisites
- Verify which Chartbeat account (organization) and site groups the collaborator should access.
- Confirm whether login is via username/password or SSO. If SSO, pre-create the user in your identity provider.
- Collect the collaborator’s service account email and choose the default role (Admin vs. User).
- Ensure you have Account Administrator rights.
Invite the Service Account
- Log into Chartbeat and open Settings → Users.
- Click Invite Users and enter the collaborator’s service account email.
- Select the appropriate Role (Administrator for configuration support, User for dashboard-only work).
- Choose the Sites or Groups the account should access. Include staging properties if QA is required.
- Add an optional note referencing the engagement or ticket number, then send the invitation.
After the Invitation
- Chartbeat emails the invite instantly. Confirm acceptance and verify the account appears under Active Users.
- Share any MFA, VPN, or password rotation policies with the collaborator’s team.
- Update your access tracker and store the invite confirmation per compliance procedures.
Troubleshooting
- Email not delivered: Resend the invite and allowlist
@chartbeat.com
in your mail gateway. - Site not visible: Edit the user and confirm the correct site groups are checked.
- Need temporary access: Set an expiration reminder tied to the project end date.
